Privacy Policy

1. Who we are

Santa Fe Performing Arts Collaboration, doing business as Santa Fe Improv, is a 501(c)(3) nonprofit organization in Santa Fe, New Mexico. FEIN 83-3988484. In this policy, “SFI,” “we,” “us,” and “our” mean Santa Fe Improv.

This policy explains what personal information we collect, why we collect it, who we share it with, and what you can ask us to do with it. It covers our website at santafeimprov.org and our programs, including classes, performances, workshops, and school residencies.

2. Information you give us

You give us information when you sign up for our email list, register for a class, buy a ticket, enroll a child in a youth program, hire us for a workshop, or contact us.

Depending on what you are doing, that can include your name, email address, phone number, mailing address, birthday, the class or performance you selected, and any information you choose to include in a message to us.

For youth programs, in accordance with the school’s guidelines and regulations, a parent or guardian provides information like the participant’s name, age or grade, school, guardian contact information, an emergency contact, and potentially any allergy or medical information the guardian chooses to share so we can keep the participant safe.

We do not ask for or knowingly collect information from a child directly. Registration for youth programs is completed by a parent, a guardian, or a school.

3. Information we collect automatically

When you visit our website, our hosting and analytics systems record information about the visit. This includes your IP address, the type of browser and device you are using, the pages you view, how long you spend on them, and the site or search that referred you.

Some of this is necessary to serve and secure the site. The rest depends on the cookie choices you make when you first arrive. You can review and change those choices at any time on our Opt-out Preferences page.

Our website does not require an account, and comments are disabled, so we do not hold login credentials or comment histories.

4. The services we use

We use a small number of outside services to run the site and our programs. Each one handles information under its own privacy policy, and we link to those policies here.

Automattic, through WordPress.com, hosts the website and provides statistics through Jetpack.

Klaviyo manages our email list and sends our text messages. See sections 5 and 6.

Ticket Tailor sells tickets and class registrations and records the purchaser’s name, email address, and order details.

Stripe processes payments. Your card details go directly to Stripe. We never receive or store your full card number.

Google, through Google Analytics, Google Search Console, and Google Ads, helps us understand how the site is used and measures the results of our advertising. As a nonprofit we advertise through the Google Ad Grant program.

WPConsent records your cookie choices. Those records stay on our own site and are not sent anywhere else.

Google Maps displays our location on the Contact page. Loading the map sends your IP address and device information to Google, so we do not load it until you allow it.

5. Email, and how we decide what to send you

When you join our email list, we record your email address and other details you enter on the form.

We also record how you arrived. If you came from an ad, a social post, or a campaign link, we store the tracking parameters from that link. We record which page on our site you signed up from. Over time we record whether you open and click the messages we send.

We use that information to build a picture of what you are likely interested in, and to send you the classes, shows, and programs that fit rather than everything we do. Where you have allowed it, activity on our website may also be associated with your subscriber profile.

You can unsubscribe from any message we send, and we will stop. You can also write to us at admin@santafeimprov.org and ask us to delete your profile entirely.

We do not send marketing communication to children. Messages about a youth program go to the parent or guardian who registered the participant.

6. Text messages

If you give us your phone number and opt in, we send text messages about our shows, classes, and programs. Opting in is not a condition of buying anything from us.

When you opt in, we send a message asking you to confirm, and we do not send marketing texts until you reply to confirm. Message frequency varies. Message and data rates may apply.

You can opt out at any time by replying STOP to any message, and we will stop. You can also write to admin@santafeimprov.org.

We use your phone number to send these messages and to manage your subscription. We do not share your opt-in to receive text messages, or your consent status, with any third party for purposes unrelated to sending you those messages. We share your phone number with the providers who deliver our messages, including our messaging platform and telephone carriers.

7. Sharing your information with instructors

Our classes are taught by independent instructors. When you enroll in a class, we share your name and contact information with the instructor teaching it, so they can reach you about the class. In the case of Masterclasses or content licensed to us by guest instructors, we share your name and contact information with the instructor. They may choose to contact you about their own future offerings separate from us.

8. Youth and school programs

We work with students through school residencies and through youth classes.

Where we work inside a school, we operate under an agreement with that school. Student records in those programs are the school’s records, handled according to the school’s policies and our agreement with it, and we use the information only to deliver the program.

Where a parent or guardian enrolls a young person directly with us, we hold only what we need to run the class safely and to stay in touch with the guardian.

So long as it does not conflict with our agreement with the minor’s school to deliver services, maintain confidentiality or does not generate other legal conflict, a verified parent or guardian may ask us at any time what information we hold about their child, ask us to correct it, or ask us to delete it. 9. Photographs and video

We photograph and record our classes, workshops, and performances, and we use that material to show people what improv at SFI looks like.

Adult participants and audience members sign a consent to filming and photography, or are notified at the venue that recording is taking place.

For participants under 18, we obtain written permission from a parent or guardian before using their image, and we honor a decision to opt out.

If you appear in a photograph or video and want it taken down, write to admin@santafeimprov.org. We will remove it from the properties we control. We cannot recall printed material already distributed or content that others have shared.

10. Testimonials

We publish student testimonials on our website, including names and photographs. We do this only with the permission of the person quoted. If you have given us a testimonial and want it removed, write to us and we will take it down.

11. Who else receives your information

We share personal information with the service providers named in section 4, who handle it on our instructions and for no other purpose, and with instructors as described in section 7.

We disclose information when the law requires it, including in response to a subpoena, a court order, or a lawful request from a government authority.

If SFI merges with, is acquired by, or transfers its programs to another organization, your information may transfer with it.

We do not sell your personal information. We do not share it for cross-context behavioral advertising. We do not rent, trade, or otherwise make our mailing list available to other organizations.

We do not share your opt-in to receive text messages, or your text message consent status, with any third party for purposes unrelated to delivering those messages. We share your phone number only with the providers who help us deliver text messages, including our messaging platform and telephone carriers.

12. Cookies

Our website uses cookies and similar technologies. Some are necessary for the site to work. Others support analytics and advertising and load only if you allow them.

13. How long we keep information

Email subscriber profiles are kept while you remain subscribed. If you unsubscribe, or if you have not opened or clicked anything from us in three years, we suppress and then delete the profile.

Transaction records for classes, tickets, and donations are kept seven years to meet financial record keeping and tax reporting obligations.

Class rosters and program records are kept three years after the program ends, or for the period our agreement with a partner school requires.

  • Website analytics data is kept fourteen months.
  • Cookie consent records are kept twelve months.
  • Correspondence is kept three years, longer where it forms part of a program or financial record.
  • Published photographs and video are kept indefinitely, subject to removal request under section 9.

14. Security

We take reasonable measures to protect the information we hold, and we use established providers who do the same. Payment card details never reach our systems. No method of transmitting or storing information is completely secure, and we cannot guarantee absolute security.

15. Your choices and rights

Wherever you live, you can ask us to tell you what personal information we hold about you, correct it if it is wrong, delete it, or stop sending you marketing. Email and text channels should contain an option to easily unsubscribe.

If for some reason, such as a technical bug, you are not able to easily unsubscribe, to make a request, write to admin@santafeimprov.org. We may need to verify your identity before we act, and we will respond within 30 days.

16. If you are in the European Economic Area or the United Kingdom

If you are in the EEA or the UK, the following applies to you in addition to section 15.

Our legal bases for processing are: your consent, for marketing email, non-essential cookies, and photography; performance of a contract, for class registration, ticket purchases, and workshop delivery; legal obligation, for financial and consent records; and our legitimate interests, for operating and securing the website and responding to enquiries.

You have the right to access your information, have it corrected, have it erased, object to processing, ask us to restrict processing, receive a copy in a portable format, and withdraw consent at any time without affecting processing that already happened. You also have the right to complain to your national data protection authority.

SFI operates in the United States and our service providers are based here, so information you give us is processed in the United States, which does not have the same data protection laws as the EEA or the UK. Where you give us information or consent to cookies, you are agreeing to that transfer.

17. Children under 13

Our website is not directed to children under 13 and we do not knowingly collect personal information from them online. If you believe a child under 13 has given us information through the website, write to admin@santafeimprov.org and we will delete it.

18. Other websites

Our website links to other sites, including Ticket Tailor and our social media accounts. This policy does not cover them. Read their privacy policies before giving them information.

19. Changes to this policy

We may update this policy. When we do, we will change the effective date at the top and post the new version here. Material changes will be announced on the website or by email.
